How to Automate Repetitive Business Tasks

Find the work that is typed twice, connect the systems, and keep the failures visible. A practical method rather than a software list.

Automation means work the computer performs instead of an employee doing it by hand. The hard part is never the technology. It is identifying which work is worth automating and in what order.

Find the work that is typed twice

The strongest signal that something should be automated is that the same information is entered into two places by a person.

An order arrives and someone types it into the accounting system. A product sells and someone adjusts the stock in a spreadsheet. An enquiry comes in and someone copies it into a list. Each of those is a connection waiting to be made.

Spend an hour writing down every such moment in your week. That list is your project plan, and it is usually shorter and more obvious than expected.

Rank by frequency, not by annoyance

The task everybody complains about is often monthly. The task nobody mentions happens forty times a day.

Multiply minutes by frequency. Automate the top of that list first, regardless of how boring it is.

The usual first three

For most product businesses, the same three come out on top:

  • Order automation (€290) — the order moves through the process without being re-entered.
  • Invoice automation (€290) — the invoice is created and sent when the order is paid.
  • Stock synchronisation (€290) — one stock figure across website, store and marketplaces.

Keep failures visible

This is the part that separates automation that helps from automation that hurts.

An automated process that fails silently is worse than a manual one, because nobody notices for a week. Every connection we build reports its failures somewhere a person will see them — automatic notifications are €190 and they are not optional in our view.

You should also keep a way to do the thing manually. Systems go down; your business should not.

Do not automate a broken process

If your order process is confused, automating it produces confusion faster. Write down the steps first. Frequently, half of them turn out to exist only because of an old constraint nobody has revisited.

Removing a step is cheaper than automating it.

What it is worth

The same arithmetic as anywhere: minutes saved × frequency × cost of an hour. A €290 connection that saves three minutes on forty orders a day pays for itself in days, not months.

But there is a second return that is harder to count and often larger: information that is copied by hand is information that is sometimes wrong. Wrong stock means cancelled orders; wrong addresses mean returned parcels; wrong invoices mean arguments. Automation removes an entire category of mistake, not just the typing.

Start small and visibly

Pick one connection, make it work, let the team feel the difference, then do the next. A six-month “full automation project” fails more often than six one-week improvements, and it is much harder to stop if it is going wrong.
